Tax and accounting reconciliation in SAP: from the ledger to SPED

To reconcile is to prove that the invoice, the posting, the tax assessment, the file and the return tell the same story, with the same value and in the same period.

In SAP, the proof crosses the general ledger, the tax books, SPED Fiscal (Brazil's digital tax reporting system), EFD-Contribuições, EFD-Reinf, ECD and ECF. DFSpro designs the difference report and the evidence trail. The decision on each difference belongs to the company.

Start from the question your role needs to answer

Four entry points to the same reconciliation: each role sees a different stretch of the chain.

01Controllership

Reconciliation shortcuts
The short answer

One proof across the whole chain

The direct answer

To reconcile is to prove that each economic event has the same value at every stage of the chain: document, posting, assessment, file and return.

What is compared

Values that the layout's own rule says must match: the ICMS assessment debit and the sum of the documents that generate it, and the closing balance of one month and the opening balance of the next in the ECD.

When it is compared

Before locking the period. In EFD-Reinf, correcting a value already closed means reopening the series, correcting and closing again, and DCTFWeb does not accept editing the debit.

What is kept

The difference found, the cause, who decided and the result after the correction. Without this record, the same point comes back at every close.

Reconciliation links two stages that are usually treated separately: the tax test shows that the system calculates correctly, and the tax assessment shows how much is due. Reconciliation shows that the two tell the same number, period by period.

The chain

Six steps between the event and the payment

Each step has a different owner in the company, and it is in the handoff from one to the next that the value gets lost.

  1. 01

    Tax document

The event that generates tax, with values, CFOP and CST on the document itself, and the events that change it later.

  2. 02

    Posting

The event becomes an accounting posting and a tax book entry, each with its own account and its own period.

  3. 03

    Assessment

Debits, credits and adjustments by tax and by establishment, within the assessment period.

  4. 04

    Filing

EFD ICMS/IPI, EFD-Contribuições, EFD-Reinf and ECD carry the same events in different layouts.

  5. 05

    Return

DCTFWeb and ECF carry the result of the period to the Federal Revenue Service. DCTFWeb receives data from EFD-Reinf and eSocial.

  6. 06

    Payment

Payment slip, withholding and clearing close the cycle: the amount paid matches the amount assessed and the general ledger.

Each step hands the next one a number that has to match. Often the difference only shows up at the end, as a file that is rejected or a payment slip that does not close, and the cause is in the first steps. That is why reconciliation walks the chain in both directions.

The filings

What each filing brings to the reconciliation

The chain ends in six different obligations. Each carries a cut of the same event, and the reconciliation needs to know the cut.

EFD ICMS/IPI

Who files: ICMS and IPI taxpayers, with possible waivers by protocol between the tax authorities (Ajuste SINIEF 02/09). What it carries: inbound and outbound books, inventory, the two assessments, CIAP, production and inventory, and fuels.

ECD

Who files: legal entities required to keep accounting records. RFB Normative Instruction 2.003/2021 excludes, among others, Simples Nacional companies, public bodies and inactive companies. What it carries: Journal, General Ledger, Daily Trial Balances and Balance Sheets, in digital form.

ECF

Who files: all legal entities, centrally through the head office, except the exceptions in RFB Normative Instruction 2.004/2021. What it carries: the e-Lalur and e-Lacs, with the adjustments to the IRPJ and CSLL base (federal corporate income taxes), and the chart of accounts and balances recovered from the ECD.

EFD-Contribuições

Who files: as set by the rule of the obligation, and the company confirms the classification with its accountant. What it carries: documents, credits, adjustments and assessment of PIS and Cofins.

EFD-Reinf

Who files: as set by the rule of the obligation, and the company confirms the classification with its accountant. What it carries: withholdings and other tax information, in events grouped into series that close by period.

DCTFWeb

Who files: as set by the rule of the obligation, and the company confirms the classification with its accountant. What it carries: what arrives from eSocial, EFD-Reinf and MIT, forming the declaration of debits and credits.

Map by tax

Each tax is assessed in one place and reconciled with another

The reconciliation changes its other end depending on the tax: where it arises, what carries it to the Federal Revenue Service and what it is checked against.

ICMS

Assessed in: E110, with the payment detailed in E116. Carried by: EFD ICMS/IPI. Reconciled with: the sum of the analytical records of the documents, the general ledger of ICMS payable and recoverable, and the payment slip paid.

IPI

Assessed in: E520, with the debit summed from the outbound documents and the inbound credits. Carried by: EFD ICMS/IPI. Reconciled with: the IPI general ledger and the inbound and outbound books.

PIS and Cofins

Assessed in: M200 (PIS) and M600 (Cofins), with credits in M100. Carried by: EFD-Contribuições. Reconciled with: the amount reported in DCTF. The Guide requires the block M values to match the amount due reported in DCTF.

ISS

Basis: a tax of the municipalities and the Federal District on the services in the list attached to LC 116/2003, with the service price as the calculation base. Reconciled with: the service invoices issued and received, the withholdings and the general ledger. The payment slip and the filing follow each municipality's law.

IRPJ and CSLL

Assessed in: ECF, with the e-Lalur and e-Lacs adjustments on net income. Reconciled with: the ECD of the same period, recovered in the ECF, and with records M300 and M350 (entries) and M310 and M360 (accounting accounts linked to each entry).

IBS and CBS

Basis: LC 214/2025 requires assessing, by period, the difference between the debits and credits of each tax. Reconciled with: the electronic tax documents, the extinction of the debt by payment, offset or split payment and, where it exists, the assisted assessment.

These eight are examples where the official rule says the values must match. There are others, specific to each company, such as the balance of a tax against the account that holds it on the balance sheet. They enter the difference report with the same structure, and the SPED Fiscal page details those that depend on the ICMS and IPI file.

Records that cross

Block by block: where to look in each filing

The records the reconciliation reads in each filing, block by block.

EFD ICMS/IPI

Blocks C and D: documents and analytical records (C190, D190). Block E: assessment (E110, E116, E520). Block G: CIAP (G110, G125). Block H: inventory. Block K: production and inventory (K200, K230). Each block is checked against the general ledger and the books.

EFD-Contribuições

Blocks A, C, D and F: revenues, costs and other operations, with the accounting account code. Block M: credits and assessment (M100, M200, M205, M600). Record 0500 carries the chart of accounts used in the operations.

ECD

I050: chart of accounts. I051: referential chart. I150 and I155: periodic balances. I200 and I250: entry and lines. I355: balances of the income accounts before closing. J100 and J150: balance sheet and income statement.

ECF, blocks K and L

K155: accounting balances recovered from the ECD, after the income closing. K355: balances of the income accounts before closing. L100 and L300: balance sheet and net income statement for the tax period.

ECF, block M

M010: part B account. M300 and M350: part A entries of the e-Lalur and e-Lacs. M310 and M360: accounting accounts linked to each entry. M410: part B entry with no effect on part A. M500: balance control.

EFD-Reinf

Causes of difference

Six places where the difference arises

Almost every difference between tax and accounting fits one of these causes. Classifying the cause is the first step to fixing it.

Document without posting

The invoice is in the tax book and did not generate an accounting posting, or the posting was reversed without the document being cancelled. The report starts from the document and looks for the posting linked to it.

Posting without document

There is value in the general ledger with no invoice behind it: a provision, a manual adjustment or a reclassification. Not every posting has an invoice, and each exception needs a rule and an owner.

Different period

The same document falls in different months in the general ledger and in the book, by issue date, entry date or posting date. The out-of-period filing has its own rule in the EFD Guide: an outbound document outside the month does not add to the period debit, and the tax is paid with surcharges. An inbound document outside the month generates a normal credit.

Different account

The value is right and the account is another. The EFD chart of accounts, the ECD one and the mapping to the ECF referential chart need to tell the same structure. A summary account is not mapped, only the analytical one.

Different classification

CFOP, CST and rate form the key of the analytical record. When the document is classified one way and the posting or adjustment another, the total per combination does not close with the assessment.

Value for another purpose

The same item has different values for tax purposes and for accounting. The EFD Guide cites inventory, where the value for income tax excludes recoverable ICMS. The ECF records the adjustments that differ from the commercial accounting.

In practice

A difference is not an error by definition. Part of it is expected, such as the value for another purpose. The work is to classify each one: expected and explained, an error to correct, or a decision that belongs to the client.

The difference report in SAP

The central piece: a list with key, cause and owner

It is what DFSpro designs with the company. Without it, reconciliation depends on spreadsheets that change every month.

From the total difference to the document

  1. 01

    Period total

Compare the tax total with the accounting total for each tax and each establishment.

  2. 02

    Account or tax

Where the total does not close, drill down to the account or tax that concentrates the difference.

  3. 03

    Document

Open the list of documents of the account and look for what exists on one side and is missing on the other.

  4. 04

    Cause and owner

Classify each finding into one of the six causes and hand it to the owner, with the evidence.

Three design decisions weigh more than the rest: which key links the tax document to the posting, at what level you compare, and who can change the status of a difference. The report has to run again at every close, with the same rule, so that comparing months makes sense.

Who closes each difference

Owner by cause, not by department

A difference with no owner crosses the month and comes back in the next. Each cause has a usual owner.

Document without posting

Usual owner: accounting, with tax. Delivers the posting or the cancellation of the document and the cause of the difference.

Posting without document

Usual owner: accounting. Delivers the reason for the posting or the reversal, and the rule for cases that repeat.

Different period

Usual owner: tax and accounting. Deliver the agreed comparison date and the list of out-of-period items for the month.

Different account

Usual owner: accounting. Delivers the correspondence table between the charts and the mapping fix.

Different classification

Usual owner: tax. Delivers the correct CFOP, CST and rate, and the fix at the source of the master data or of the rule.

Value for another purpose

Usual owner: the client's controllership and tax team. Deliver the recorded decision on the treatment and the matching adjustment.

Each company adjusts these owners to its own org chart. In any design the same principle holds: whoever can fix the cause answers for it, and the tax decision goes back to the client.

Test on a closed period

Prove the fix before using it in the current month

The period already filed serves as an answer key: the known difference has to appear before the fix and disappear after.

  1. 01

    Closed period

Choose a month already filed and reconciled by hand, with the files and receipts kept.

  2. 02

    Reproduce

Run the difference report on that period and check that it finds the same difference the team explained by hand.

  3. 03

    Fix at the source

Apply the fix in a test environment, without touching the filed period, and run the report again.

  4. 04

    Compare

The difference disappears, or is reduced to what the company decided to accept. The result becomes evidence.

In practice

Reproducing the difference on a closed period before fixing it, and showing that it is gone afterwards, is a proof an auditor understands. The tax reading and the adjustment policy remain the company's.

e-Lalur and e-Lacs

Where the difference between accounting and taxable profit is recorded

Accounting and income tax follow different laws. The ECF keeps the bridge between the two, and the reconciliation checks that bridge.

What the law says

Taxable profit is the net income for the year adjusted by additions, exclusions or offsets prescribed or authorized by the tax legislation.

Commercial side

The Corporations Law requires observing tax law that prescribes different criteria, or requires adjustments, exclusively in auxiliary books or records, without changing the commercial bookkeeping (art. 177, § 2).

Tax side

The taxable profit book receives the adjustments to net income and the control records of values that should affect future years and are not in the commercial bookkeeping (Decree-Law 1.598/1977, art. 8).

How part B keeps what is still to be reversed

Entry in part AAccount balance in part BSign in part BWhat it represents
AdditionCreditDebitUse of balance for addition
AdditionDebitDebitCreation of balance for later exclusion
ExclusionDebitCreditUse of balance for exclusion
ExclusionCreditCreditCreation of balance for later addition

The same decree-law deals with a value that only changes period: what belongs to another base period is added or excluded in one and reversed in the other (art. 6, § 4). This is where reconciling the general ledger with the e-Lalur gets its own proof, account by account, in ECD and ECF.

Regulatory basis

Decree-Law 1.598/1977, arts. 6 and 8; Law 6.404/1976, art. 177, § 2; ECF Manual, records M300 and M500.

Inventory

Block K, inventory and the inventory general ledger

Inventory is the point where quantity, tax value and accounting value have to agree.

  1. 01

    Quantity

K200 reports the closing inventory on the books, by item type and participant, in the inventory control unit.

  2. 02

    Value

H010 carries the value of the item in the inventory. The value field for income tax differs from the ICMS and IPI value.

  3. 03

    General ledger

The balance of the inventory accounts in the general ledger is compared with the inventory value and with the accounting value of the items.

  4. 04

    Correction

K280 corrects the inventory of a prior period, and only between two inventories. The accounting entries follow the correction.

The closing inventory of a period is the opening one of the next, which is why the correction of one month carries forward. The PVA validator warns when the February EFD does not carry H005 with the inventory of 31 December, and the accounting account of the item in H010 is required only for profiles A and B. The SPED Fiscal page details Block K.

Amend and correct

Correcting a period already filed: what each rule allows

Correcting before transmitting is routine. Correcting afterwards has its own path in each filing, and the path of one may force the path of the next.

SituationWhat the rule saysWhere it is
ECD with an errorThe authenticated ECD is replaced only if the error cannot be corrected by an out-of-period accounting entry.RFB Normative Instruction 2.003/2021, art. 8
Replacement ECDIf it changes accounts or balances recovered in the active ECF, the company files an amended ECF.RFB Normative Instruction 2.004/2021, art. 8
Out-of-period entry in the ECDIf it changes the IRPJ or CSLL base of a prior year, the adjustment goes in an amended ECF, by additions or exclusions, even if the recovered ECD does not change.RFB Normative Instruction 2.004/2021, art. 9
Out-of-period document in EFD ICMS/IPIIt enters with COD_SIT 1, 3 or 7. The outbound document does not add to the period debit, and the tax is paid with surcharges. The inbound document generates a normal credit.EFD ICMS/IPI Practical Guide
EFD-Reinf closedIn series R-2000, an amendment, deletion or inclusion in a closed movement only after the reopening event R-2098.EFD-Reinf Manual
DCTFWebDebits are not changed in the declaration. The adjustment is made in eSocial, EFD-Reinf or MIT.DCTFWeb Manual
EFD-Contribuições outside DCTFIf block M shows a contribution different from the amount actually due and reported in DCTF, the filing is amended.EFD-Contribuições Practical Guide

The common rule is the order: correct at the source and carry the change to the filings that depend on it. A correction in the ECD may require a new ECF, and a correction in EFD-Reinf changes DCTFWeb. The article on the ECD shows how a manual reclassification with no mirror in SAP creates this cascade effect.

Credits

CIAP, PIS and Cofins, and the balance that passes from one month to the next

A credit is an asset for the company and a record for the Federal Revenue Service. Reconciliation shows that both have the same value.

CIAP

G110 calculates the ICMS portion of the fixed asset still to be taken, with the participation index of taxed outbound sales, and carries the value to the ICMS assessment as an adjustment. G125 records the entry, exit and write-off of the asset. The accounting account of the asset closes the check.

PIS and Cofins

Block M deducts the credits of the period and of prior periods in the consolidation of M200 and M600. The accounting account is required in operations under the non-cumulative regime, and its absence blocks validation for taxable events from November 2017.

Credit balance

The balance that passes from one period to the next appears in E110 (ICMS), E520 (IPI) and block M. Each balance needs a general ledger with the same movement. See the page on credit recovery.

Close

How to prove the close of the period

The close is the point where reconciliation becomes proof. Before it, correcting is routine. After it, correcting may require reopening what was transmitted.

What proves the close

The period is reconciled when each difference has a cause and an owner, and everything that was an error was corrected before the period was locked.

Before closing

  • Difference report run on the complete period, including out-of-period documents.
  • Assessment totals checked against the source documents.
  • General ledger balances checked against the balances the accounting filing will carry.
  • Withholdings of the period checked before the EFD-Reinf closing event.
  • Every open difference with cause, owner and decision recorded.

After closing

  • In EFD-Reinf, correcting series R-2000 already closed requires reopening (R-2098), correcting and closing again (R-2099).
  • In DCTFWeb, the debit received cannot be edited. The adjustment goes back to the source filing.
  • In EFD-Contribuições, the filing remains available for consultation and amendment for at least five years.
  • A difference that reappears the following month enters the report as recurring, with the same cause.

The order of the close is part of the reconciliation. The EFD-Reinf manual recommends sending R-2099 only after receiving the receipts for the period's events, and transmitting DCTFWeb after the closing events. Whoever closes out of this order corrects later, with a reopening. The full path is on the EFD-Reinf page.

Regulatory basis

The EFD-Reinf manual covers closing (R-2099), reopening (R-2098) and DCTFWeb. The DCTFWeb manual confirms that the debits received are not changed in the declaration. Technical Note 011/2026 covers the five-year period of the EFD-Contribuições.

Close evidence

The package another person can open months later

Proof of the close is a set of files and decisions, not a conversation. Six items cover most cases.

In practice

The Federal Revenue Service states, in Technical Note 011/2026, that the EFD-Contribuições remains available for consultation and amendment for at least five years. Align the retention of the evidence package with that horizon and confirm with the accountant the period for the other files.

Client controls

Six controls the company keeps between one close and the next

One month's evidence only holds up if these controls exist in the month before and the month after.

Close calendar

List of out-of-period items

Documents and entries outside the month of origin, with the reason, the effect on the assessment and the decision recorded.

Reopening and amendment log

Who authorized reopening a period or filing a new file, the reason and the filings the correction reached.

Balances that cross periods

Credit balance of ICMS, IPI, PIS and Cofins, part B of the e-Lalur and e-Lacs, and CIAP, each with the matching general ledger.

Access and segregation

IBS and CBS

Assessment, assisted assessment and split payment in the reconciliation

The new tax brings its own reconciliation: the debit links to the document and the payment links to the operation.

What LC 214/2025 requires

In each period, the IBS and CBS balance results from the debits minus the credits taken, with adjustments, and becomes a balance payable or recoverable.

How the debit is extinguished, and what the reconciliation links

MethodWhat the law saysLink in the reconciliation
Offset against creditsIBS and CBS credits taken by the taxpayer.Applied to the debits in the chronological order of the tax document.
Payment by the taxpayerPayment of the assessed debit.Applied in the chronological order of the tax document.
Split paymentCollection at the financial settlement of the operation.Linked to the respective operation.
Collection by the buyerThe case in art. 36 of the law.Linked to the respective operation.
Payment by a responsible partyWhoever the law names as responsible.Linked to the operation, or applied in chronological order.

Art. 46 allows the IBS Steering Committee and the RFB to give the taxpayer a ready balance for the period, the assisted assessment, built from the electronic documents, the extinction of the debits and other information.

If it is presented, the taxpayer's assessment can only be made by adjustments to it, confirming or adjusting it amounts to an acknowledgment of debt, and no response within the deadline presumes the balance correct.

In practice

Whoever has the difference report ready checks the assisted assessment against their own documents before the deadline. Whoever does not receives the balance and has little time to prove otherwise. Settlement has its own page: split payment in SAP.

Regulatory basis

Complementary Law 214/2025, arts. 27, 45 and 46.

2026 and 2027

What changes for those who reconcile in the transition

The transition does not replace reconciliation. It adds a tax to the document and keeps an old balance in the filing.

New taxes outside the current records

In 2026, the Federal Revenue Service advises that the CBS, IBS and IS values shown on documents are not summed into the items and documents of the EFD-Contribuições. The EFD ICMS/IPI Guide says not to file documents that carry only information on the new taxes. The report needs to separate the current tax from the new one.

EFD-Contribuições continues for balances

According to Technical Note 011/2026, for PIS and Cofins taxable events from January 2027 it is no longer used. The file remains valid for at least five years, for the credit balance, inspection and amendment.

Credit balance on the books

According to the same technical note, remaining PIS and Cofins credits must be properly filed for use in offset against CBS or other federal taxes. Reconciling the balance with the general ledger becomes proof to keep.

The practical effect is one more column in the report and one more balance to follow. The tax reform changes the documents before it changes the obligations, and the article on PIS and Cofins credit and SPED shows where balance reconciliation usually breaks.

Delay: 0.02% per day, calculated on gross revenue, up to a maximum of 1% of it. Form not met: 0.5% of gross revenue. Omission or error: 5% of the operation value, capped at 1% of the gross revenue of the period.
ECF, taxable profitLate or with inaccuracies, errors or omissions (RFB Normative Instruction 2.004/2021, art. 6).Decree-Law 1.598/1977, art. 8-A: 0.25% per month or fraction on net income before IRPJ and CSLL, capped at 10%, with a ceiling of BRL 100,000.00 or BRL 5,000,000.00 depending on the prior year's gross revenue. Omitted or incorrect amount: 3%, at least BRL 100.00.
ECF, other legal entitiesSame case (RFB Normative Instruction 2.004/2021, art. 6).Law 8.218/1991, art. 12, on the same terms as the ECD.
EFD-Contribuições and EFD-ReinfFailure to meet the deadline or form. The penalty depends on the specific rule of each obligation, which the client confirms with the accountant.
EFD ICMS/IPIFailure to meet the deadline or form. The penalty is set by each state's legislation.

The taxable profit ECF has reductions of 90% if filed within 30 days of the deadline, 75% within 60 days, half before any ex officio procedure and 25% within the period of a notice.

When there is no net income in the period, the instruction uses the last net income reported, updated by the Selic rate. Deciding whether and how to apply these rules to the actual case is for the client and their accountant.

Comparison

A spreadsheet each month or a report that repeats

Both ways reach the same number. The difference is in what is left after the close.

Reconciliation by spreadsheet, at every close

  • The rule changes with whoever builds the spreadsheet.
  • The key between document and posting is rebuilt every month.
  • The cause of the difference stays in the head of whoever analyzed it.
  • The history of decisions is in emails and loose files.
  • Comparing months depends on memory.
  • The audit asks for the material and the team rebuilds it.

Recurring difference report

  • The rule is versioned and the same in every period.
  • The key is designed once and runs in the system.
  • The cause is classified into the six categories and has an owner.
  • The client's decision sits next to the difference, with a date.
  • Comparing months is direct, and the recurring difference shows up.
  • The evidence is born with the report and is ready for audit.
Common errors

Eight errors that leave the difference for the next month

Each error has a cause and a way out. Most start in process, not in configuration.

ErrorWhy it happensHow to avoid it
Reconciling only the totalThe total closes because two errors offset each other.Drill down to the account and the document whenever the total is the only proof.
Comparing different periodsThe general ledger uses the posting date and the book uses the inbound or outbound date.Fix the comparison date and handle out-of-period items in their own list.
Adjustment made outside SAPThe reclassification starts in the accounting filing, with no posting in the system. The mismatch that the ECD exposes usually has this origin.Every adjustment generates a posting or a record, with an owner and a reason.
Misaligned chart of accountsThe EFD chart, the ECD chart and the ECF referential are kept by different people.A single correspondence table, reviewed at every chart change.
Correcting after the closeEFD-Reinf and DCTFWeb have already locked the period.Finish the reconciliation before transmitting the closing event.
Difference with no ownerEach area understands the point to belong to the other.Owner by cause of difference, not by department.
Rule that changes every monthEach close uses a new spreadsheet.Versioned rule, in the same report, repeated every period.
Forgetting the new taxThe document carries CBS and IBS that the current filing does not carry.A column of its own for the new tax, outside the sum of the current tax.

The pattern repeats: the error lives in the handoff between two areas. The articles on DCTF and EFD-Contribuições and on the close after go-live show cases where this appears.

Readiness questions

Six questions that show whether the close is ready

An answer of "I don't know" to any of them points to where next month's difference will arise.

Key

Is the key that links the tax document to the accounting posting the same on both sides?

Manual posting

Does every manual posting to a tax account have an author, date and reason?

Adjustments

Do the assessment adjustments enter what is compared with the general ledger?

Offset

Who approves the manual offset between tax recoverable and tax payable?

Chart of accounts

Is the correspondence table between the charts of accounts up to date after the last change?

Residual difference

Does each remaining difference have an owner and a date to be resolved?

In SAP

What the TDF delivers and what the reconciliation still has to do

SAP produces each file. Checking that the files agree with each other remains a design task.

One report per filing

According to SAP help (version 1.0 SP20), the SAP Tax Declaration Framework for Brazil (TDF) creates reports for five filings: ICMS and IPI, PIS and Cofins, EFD-Reinf, ECD and ECF. Reconciliation compares the output of different reports.

Tracking the runs

Once the reports are created, the Tax Obligation Monitor tracks the runs and the status of each one, and lets you download the files and send them to the Federal Revenue Service. The downloaded file and the receipt go into the evidence package.

Amendment inside the TDF

SAP help has one topic for amending SPED reports and another for the master data used in it. Whoever corrects a difference in a filed period needs to know which path the environment adopts.

The public TDF documentation describes what it generates, not each company's setup. That is why the difference report starts from the environment's data and uses the documentation as a reference for layout and report.

How DFSpro works

From the chain map to the reconciled close

Six deliverables, in order. The difference report is the center, and the others support it.

  1. 01

    Chain map

A survey of where each step arises in your environment and who answers for it.

  2. 02

    Difference report

Design and build of the report, with the key, cause and owner of each difference.

  3. 03

    Evidence trail

The close package, with receipts, decisions and corrections, ready for audit.

  4. 04

    Close script

The order of the month, with what to check before transmitting and what to do if you need to reopen.

  5. 05

    Fix at the source

Adjustment of the setup and the tax code when the cause of the difference is in the system.

  6. 06

    Close follow-up

Follow-up of one period with the report in use, until the difference drops to a level the company accepts.

The work starts in the SAP Tax Diagnostic or in the close that follows a migration to S/4HANA. In continuous support, the same report runs every period within the AMS Fiscal.

In an environment that uses GUEPARDO Tax, the difference report is designed and proved with the data of that environment. The product belongs to NTT DATA. DFSpro implements it, handles its governance and offers it as an Authorized Channel.

Limit of our role

Who proves and who decides

Reconciliation shows what the system does. What to do with the difference is the decision of whoever answers for the company.

Limit of our role

DFSpro designs the difference report, sets up the evidence trail and proves, with your environment's data, that SAP delivers the result the company defined. The tax decision is always the client's.

DFSpro proves

  • Where each difference arises and from what cause.
  • That the fix made in the system produces the agreed value.
  • That the report and the evidence repeat at every close.

The company decides

  • Whether a difference is acceptable or must be corrected.
  • The reclassification of an account and the treatment of a tax.
  • The company's position on a disagreement with the Federal Revenue Service.
  • The approval of the close and the signing of the filings.
Frequently asked questions

Frequently asked questions about tax and accounting reconciliation

01What does DFSpro do in tax and accounting reconciliation in SAP?+

It maps the chain from document to return in your environment, designs the difference report, builds the evidence trail and the close script, and fixes in the setup or the tax code any cause that is in the system. The decision on each difference stays with the company.

02Do I need GUEPARDO Tax to have reconciliation?+

Not necessarily. The difference report can be designed in the SAP the company already has. GUEPARDO Tax is an NTT DATA product, which DFSpro implements, governs and offers as an Authorized Channel, and the scoping conversation says whether the environment gains from it.

03Where do I start?+

With the last close. List the differences that appeared, from which tax and which area they came, and which were resolved by manual adjustment. The list shows the size of the problem and which of the six causes dominate in your case.

04Does it work for S/4HANA, rollout and continuous support?+

It does. In a migration and in a new unit, the next close is the real test of the reconciliation. In continuous support, the report runs every period and a difference that reappears becomes a recurring item, within AMS Fiscal.

05What is the difference between reconciling and testing?+

The tax test compares what the system calculates with an expected value, written beforehand, for each scenario. Reconciliation compares numbers that already exist at different stages, period by period. One proves the calculation and the other proves that the whole chain tells the same story, and the two complement each other.

06How do you prove the reconciliation to the auditor?+

With a package that another person can open months later: the period difference report, the files and receipts transmitted, the company's decisions with date and name, the corrections with before and after, and the list of what passed to the next month. The strongest proof is to reproduce the difference on a closed period and show that it was gone after the correction.

07Can you reproduce the difference on a period already closed?+

Yes, and it is the clearest proof. You choose a month already filed, run the difference report, check that it finds the same difference the team explained by hand, apply the fix in a test environment and compare the result. The filed period is not changed.

08Who decides whether a difference is acceptable?+

The company, with its accountant and legal team. DFSpro shows the cause, the value and the effect in the system, and records the decision in the report. Accepting a difference or adopting a thesis is a tax decision, and it belongs to the client.

09Does DFSpro correct the posting or the document?+

It corrects what is in the system: the setup, the determination rule and the tax code that generate the difference. Reclassifying an account or changing the treatment of a tax is a decision of the company, which DFSpro supports with proof of the effect.

10Why does the total close and a difference still exist?+

Because two errors of opposite sign offset each other in the total and only show up in the account or the document. That is why the report drills down from the total to the document before calling the reconciliation complete.

11Why can the general ledger lack the invoice number?+

Because the key that links the tax document to the accounting posting did not reach the general ledger, or because the posting came from a process that does not carry the invoice reference. The check crosses the key on both sides and lists what exists on one side only.

12Who authorizes a manual posting to a tax account?+

Whoever the company defines in its access and approval policy, with author, date and reason recorded. DFSpro designs the record and the trail, and the adjustment policy belongs to the company.

13Should reconciliation be done before or after redoing the assessment?+

After. Reconciliation checks the assessment, so the period is fixed first. If the assessment is redone, the difference report runs again, with the same rule, so that comparing months stays valid.

14What happens if I correct after transmitting EFD-Reinf?+

According to the Federal Revenue Service manual, in an already closed movement of series R-2000 you can only correct after the reopening event R-2098. You correct the event with the error and close again with R-2099. DCTFWeb does not allow changing the debit received, so the adjustment goes back to EFD-Reinf.

15What do the e-Lalur and e-Lacs have to do with reconciliation?+

The ECF recovers the chart of accounts and the balances from the ECD and records, in the e-Lalur and e-Lacs, the adjustments that net income undergoes to reach taxable profit. Reconciliation checks that each adjustment links to a general ledger account and that the part B balances, which cross periods, have the same control in the system.

16What happens if the ECD is replaced after the ECF?+

According to RFB Normative Instruction 2.004/2021, the company files an amended ECF whenever it submits a replacement ECD that changes accounts or balances recovered in the active ECF. An out-of-period entry in the ECD that changes the base of a prior year also calls for an amended ECF. That is why the order of correction matters.

17What is the fine for filing the ECD or the ECF with errors?+

For the ECD, RFB Normative Instruction 2.003/2021 refers to art. 12 of Law 8.218/1991: 0.02% per day of delay on gross revenue, capped at 1%, and 5% of the operation value, capped at 1% of gross revenue, for omission or error. For the taxable profit ECF, the fines are in Decree-Law 1.598/1977, art. 8-A. Applying them to the actual case is for the client and the accountant.

18Does inventory reconciliation need Block K?+

It needs everything that carries the quantity and value of inventory: K200 with the quantity on the books, the inventory (H005 and H010) with the value, and the general ledger with the accounting balance. The EFD ICMS/IPI Guide also says that the correction of an inventory record, in K280, is only allowed between two inventories.

19How is the scope set?+

Through contact. The company describes the environment, the filings it delivers and the current close, and the conversation defines the scope and the order of the deliverables. Commercial terms are handled there, with the company.

20What information does the company need to gather before the conversation?+

Access to the general ledger and tax book data of the last close, the chart of accounts, the list of filings delivered, and one person from each area who answers for the cause of a difference. The rest is built together.

21Does the tax reform change reconciliation in 2026?+

It changes the document: it starts to carry CBS, IBS and IS. The Federal Revenue Service advises that these values are not summed in the current records of the EFD-Contribuições, and the EFD ICMS/IPI Guide says not to file documents with only the new taxes. The report gains a column for the new tax.

22Does the EFD-Contribuições stop existing in 2027?+

Not immediately. Technical Note 011/2026 says that, from January 2027, it does not serve for new PIS and Cofins taxable events. The duty to keep, consult and amend the filing continues for at least five years, because of credit balances.

23What is the assisted assessment and how does it change reconciliation?+

It is the IBS and CBS balance for the period that the IBS Steering Committee and the RFB may present to the taxpayer, based on electronic tax documents and other information (LC 214/2025, art. 46). If it arrives, the taxpayer's assessment can only be made by adjustments to it. Checking against your own documents, before the deadline, becomes part of the close.

24Does split payment enter the reconciliation?+

It does. LC 214/2025 lists collection at the financial settlement of the operation as one of the ways to extinguish the IBS and CBS debt and says this extinction is linked to the respective operation. The reconciliation needs to link the amount withheld to the tax document and to the settlement posting.
