CIAP in SAP: the ICMS credit on fixed assets, from the asset to its retirement

The ICMS credit on a fixed asset is not born with the invoice and does not end in the month of purchase. It runs for 48 months, depends on the share of taxed sales in each month, and ends sooner if the asset is sold, lost, or transferred. CIAP (the control record for ICMS credit on fixed assets) is the control that proves this history, and SAP must keep it from the inbound invoice to the retirement.

In 48 monthly installments, CIAP controls the ICMS credit on permanent assets: the coefficient of each month, the retirement of the asset, and the entry in Block G of the EFD.

What CIAP is and what SAP must record

In one sentence

CIAP is the control that proves, asset by asset and month by month, how much of the ICMS paid on the purchase of a fixed asset was really claimed as credit, and SAP must keep this control from the inbound invoice to the retirement of the asset.

What is different about the credit on fixed assets

The ICMS on a purchase of goods becomes credit at once. The ICMS on a permanent asset does not. The complementary law requires you to claim it in monthly installments, multiply each installment by the share of taxed sales in the period, and end the right at the end of the 48th month (LC 87/1996, art. 20, § 5). So the credit on a machine bought today will show up in the tax assessment of four years of closes, each with a different number.

Why CIAP is fragile

This long period is what makes CIAP fragile. The inbound invoice happens once, while the sale, transfer, loss, or scrapping happens years later, in another area, and almost never passes through the tax team. Each month, the person who posts needs three pieces of data that the invoice does not carry:

  • which asset still has installments left to claim;
  • what the share of the establishment is in that month;
  • whether the asset has left.

Where the 48-installment rule already appears

The 48-installment rule has a calculator in the CIAP section of the page on ancillary obligations and SPED. The PIS and Cofins credit on fixed assets, which has its own rule, is covered in EFD Contributions and in the article on the sale of an asset.

Besides the 48-installment rule, CIAP involves:

  • the asset master data and the link to the inbound document in SAP;
  • the coefficient and records G110 and G125 of the file;
  • the retirement movements and the reconciliation with asset accounting;
  • what the tax reform says about the ICMS balance on fixed assets.
Legal basis

Where each rule is written

RuleWhat the text saysWhere it matters in SAP
LC 87/1996, art. 20, caput and §§ 1 to 3There is a right to credit for the tax charged on inbound purchases, including goods meant for permanent assets. Exempt or non-taxed purchases, or purchases unrelated to the business of the establishment, do not give credit. Vehicles for personal transport are presumed unrelated unless proven otherwise.A decision on whether the asset qualifies, made by the client before the asset master data exists.
LC 87/1996, art. 20, § 5, items I to VIIAn installment of 1/48 per month, the first in the month of entry. No credit in proportion to exempt or non-taxed sales. A factor of 1/48 of the ratio between taxed sales and total sales, with exports treated as taxed. Pro rata die adjustment. Crediting stops from the disposal if it happens before four years. Entry in a dedicated book or another form. Cancellation of the balance in the 48th month.Calculation of the installment, the coefficient, and the retirement. This is the rule that the asset master data must allow you to apply.
LC 87/1996, art. 21, IV and § 3Reversal of the credit when the goods perish, spoil, or go missing. The reversal, or the lack of crediting, does not prevent use of the same credits in later taxed operations with the same goods.Loss movements and how they are posted.
Ajuste SINIEF 8/97, clauses 1 to 9Creates CIAP for the taxpayer that buys an asset for permanent assets. Models C and D calculate the monthly credit under the wording of LC 102/2000. Item III of clause 1 allows the EFD model. Clause 8 allows states to set specific rules for internal transfers.Minimum content of the control: asset identification, ICMS on entry, movements, coefficient, and credit claimed.
Ajuste SINIEF 2/09, clause 1, § 3, VI, and clause 3, § 5CIAP is posted in the EFD, and posting has been mandatory since 01/01/2011.The control is delivered in the EFD digital file.
EFD Practical Guide, version 3.2.2, Block G and records 0300, 0305, 0500, and 0600Layout, validations, and filling rules for the control in the EFD ICMS IPI.Field map between the asset master data and the file.
LC 227/2026, arts. 132 to 141, and LC 214/2025, art. 406, § 5Transition rules for the ICMS credit balance, with its own treatment for the credit on permanent assets, and a reference to item V of § 5 of art. 20 for the sale of used goods. What to do with the asset and with the credit on purchases until 2032.

The text of the law uses "permanent assets". The EFD Practical Guide, Ajuste SINIEF 2/09, and the SAP documentation use "fixed assets" for the same control.

Version of the Practical Guide

Published in the DOU on 10/09/2026, Ato COTEPE/ICMS 86/26 points to the EFD ICMS/IPI Practical Guide in version 3.2.4, by changing the sole paragraph of clause one of Ato COTEPE/ICMS 44/18 (art. 1). The records of Block G, 0300, and 0305 follow Guide 3.2.2. Check the guide in force on the SPED Portal before you generate the file.

Which assets

The asset, the component, and what the text does not decide

The legal text speaks of permanent assets, not of a list of assets

Art. 20 of LC 87 secures the credit for the tax charged on inbound purchases, "including" goods meant for permanent assets, and gives no list of assets that are in or out. Two limits appear in the article itself: an exempt or non-taxed purchase gives no credit, nor do goods unrelated to the business of the establishment, and vehicles for personal transport are presumed unrelated until proven otherwise (LC 87, art. 20, caput and §§ 1 and 2).

The reversal in art. 21 and the role of SAP

The reversal in art. 21 completes the picture. An asset loses the credit if it perishes, spoils, or goes missing, or if it starts to be used for a purpose unrelated to the business (art. 21, III and IV). All of these are conditions of the right, which the client decides and documents. SAP does not answer "does this asset give credit?". It records the answer the company gave.

Asset and component: the distinction the file requires

The master data of the file separates two figures, and the difference changes how you fill it in.

Asset

Ready for use in the business

Goods that already meet the conditions to be used in the business of the establishment. An asset never receives the movement for assets under construction (IA).

Component

Part of an asset under construction

Goods that form part of a movable asset still under construction at the establishment: only the resulting asset can be used in the business. A component never receives the capitalization of an individual asset (IM) or the completion movement (CI) (Practical Guide, record 0300, field 03).

The component route in practice

This shows up in companies that assemble equipment from bought parts: the credit can arise with each component or only when the asset is completed, depending on the state. The Guide has both routes, and SAP has classifications that handle them. Which route applies to the establishment is a matter of state law and a decision for the client.

Who defines the permanent asset

Whether an asset counts as a permanent asset for ICMS purposes, and the list of eligible assets, depend on the law of each state and on the client's accounting classification. Eligibility belongs to the client.

Asset master data

The data that lives outside the inbound invoice

The inbound invoice carries the ICMS value. The control needs the asset: a code that never repeats, a description that identifies it, an asset account, a cost center, and a number of installments.

Record and fieldWhat it statesGuide ruleRisk when it fails
0300 COD_IND_BEMIndividual code of the asset or component in the asset control.Up to 60 characters. It cannot be reused, duplicated, or assigned to different assets.A retirement movement that lands on the wrong asset, or a code that G125 cannot find.
0300 IDENT_MERC1 for asset, 2 for component.A component requires the code of the main asset in field COD_PRNC.A component treated as an asset, with an installment claimed too early.
0300 DESCR_ITEMModel, brand, and features that identify the asset.Precise description. Generic descriptions, or different descriptions for the same asset in the same period, are not allowed. An asset that no one recognizes during an audit.
0300 COD_CTAAnalytical account where the asset is posted. It must exist in record 0500 and be an asset account (nature 01).CIAP master data out of line with the asset ledger.
0300 NR_PARCTotal installments to claim. Most states use the 48 installments of LC 87. Some may set a different number. Required when the asset gives credit on entry. An installment calculated on the wrong divisor.
0305 COD_CCUS and FUNCCost center where the asset is used and function of the asset in the business.Required record for "asset". With no cost center of its own, the Guide gives codes 1 to 5 by type of activity. An asset with no destination, which weakens the proof of use in the business.
0305 VIDA_UTILEstimated useful life, in months.Optional field.A gap between what accounting depreciates and what the file states.

Where this data comes from in SAP

The SAP documentation describes one path precisely. The report that loads CIAP records from a legacy system asks for this data (SAP Help, Creating a CIAP Record from a Legacy System):

  • code and description of the asset or component, and the function of the asset;
  • code of the main asset, when it is a component;
  • ledger account, cost center, and useful life in months.

The EFD report uses these values to fill records 0300, 0305, 0500, and 0600 and Block G. It is the clearest map between the SAP master data and the file.

Origin of the fields in the record of the normal flow. In a record created from the inbound invoice, the field-by-field map to record 0300 depends on the environment configuration and on a BAdI implementation. This is the point that a review of the environment closes before any check of Block G.

What the asset master data must have

On the asset master data side, the practical question is whether every asset that gives credit has a unique code that CIAP recognizes, an asset account that matches COD_CTA, a valid cost center, and an entry date that matches the date of the tax document. An asset with no entry date has no month for the first installment (LC 87, art. 20, § 5, I). The tax master data of the environment is covered in tax master data in SAP.

From invoice to record

From the inbound document to the CIAP record in SAP

The SAP documentation for the Tax Declaration Framework for Brazil describes how a CIAP record is created in four steps.

01

The purchase invoice is posted

When the purchase of a component or asset is relevant for ICMS credit, the system creates the record (SAP Help, Creation of CIAP Records).

02

Invoice verification checks two points

In transaction MIRO, the system checks whether the CFOP of the invoice is relevant for creating a CIAP record and whether the item category of the purchase order is set as asset or component, to assign the right cost element (SAP Help, Creation of CIAP Records).

03

One or more records are created

The number and the status depend on what was set up by country or by company and business place, or by the BRF+ rule (SAP Help, Account Assignment Category).

04

The ICMS is split into two accounts

The short-term account receives the value of the next twelve installments, and the long-term account receives the balance of the rest (SAP Help, Creation of CIAP Records).

The account assignment category decides the type and status of the record

Category A

Asset

Asset record, with status IM. The credit starts right after the record is created.

Categories F, N, and P

Order, network, or project

Component record, with status IA. The credit starts right after the record is created if the field "Immediate credit" is selected.

Category Q

Make-to-order project

Component record, with status SU, or IM if "Component as asset" is selected. The credit starts right after the record is created if "Immediate credit" is selected.

Empty category

Stock

Component record, with status SU, or IM if "Stock as asset" is selected. The credit starts right after the record is created if "Immediate credit" is selected.

Source: SAP Help, Account Assignment Category (TDF for Brazil, version 3.6). IM is capitalization of an individual asset, IA is capitalization in progress of a component, and SU is suspended.

Three consequences for the project

The CFOP decides whether the record exists

If the CFOP of the inbound invoice is not relevant, there is no record, and the credit on the asset has no control. SAP offers a way to fix it: changing the CFOP of the item in transaction J1B2N creates the record later (SAP Help, CIAP Record for an Existing Nota Fiscal). The cost of this path is a late credit.

A component record depends on an implementation

Creating a component record in other purchase orders needs a method of the CIAP BAdI, and defining what goes to the EFD report needs a method of the EFD BAdI. To declare a component as an asset in the file, the documentation says to set the component field as an asset and implement these BAdIs (SAP Help, Creation of CIAP Records).

The record comes from the document, the asset from the master data

The record links the invoice to the asset. The FI‑AA asset is another object, and the documentation is clear: there is no integration between the CIAP solution and fixed asset accounting (SAP Help, Retire CIAP Records). The link is a process link, and its design is part of tax setup and of tax ABAP development.

Crediting coefficient

The ratio that multiplies all installments

The calculation, as the law and the file describe it

LC 87 asks, for each period, for the 1/48 factor multiplied by the ratio between taxed sales and total sales in the same period. Sales abroad count as taxed, and the law adds those of paper for books, newspapers, and periodicals (LC 87, art. 20, § 5, III).

Model C of Ajuste SINIEF 8/97 calls the ratio the crediting coefficient and requires at least four decimal places. The credit of the month is the product of three numbers: coefficient, accumulated balance, and monthly fraction (Ajuste SINIEF 8/97, clause 4).

In the file, the same calculation is in record G110 (Practical Guide, record G110):

  • Field 06. Taxed sales and export sales.
  • Field 07. Total sales. Field 06 cannot exceed field 07.
  • Field 08. Ratio, equal to field 06 divided by field 07, with eight decimal places.
  • Field 09. ICMS to claim, equal to field 05 (sum of the installments that can be claimed) multiplied by the ratio.
Numerator

Taxed and export

Operations and services taxed by ICMS and those sent abroad, "subject to state law" (G110, field 06). The law treats export as a taxed sale.

Denominator

Total sales of the period

Total operations and services related to ICMS carried out in the assessment period, also under state law (G110, field 07). Exempt and non-taxed sales are in it and stay out of the numerator.

Result

Ratio between zero and one

The Guide says the value "is always equal to or less than 1". It multiplies the sum of the installments of all assets of the establishment, in the same month. So an error in the coefficient hits all assets at once, not just one.

What the rule leaves to the state and to the client

Two points often raise doubts and have no answer in the text of the federal rule. The first: whether tax substitution operations go into the numerator and the denominator. The Guide sends the content of fields 06 and 07 to "state law", and each state's rule settles this case. The second: which sales count as "related to ICMS" for the denominator, such as shipments, transfers, and returns. The answer comes from state law and the client's policy, and it changes the result in a material way.

The role of the factor report in SAP

The SAP design does not replace this decision. The SAP documentation says the credit factor is set in the report Define Credit Factor, and that the accounting entry uses the factor calculated there (SAP Help, CIAP Record Quotas). What the report counts as a sale, and on what basis, is configuration, and it must be checked against the client's decision before the first close.

CIAP · record G110

From the installment of each asset to the ICMS claimed in the month

Example: three assets with ICMS of BRL 240,000.00, BRL 96,000.00, and BRL 48,000.00, in 48 installments, and sales in the month of BRL 6,000,000.00 taxed, BRL 1,500,000.00 exported, and BRL 500,000.00 exempt. The installments add up to BRL 8,000.00. The ratio is 7,500,000 divided by 8,000,000, or 0.93750000, and the ICMS to claim is BRL 7,500.00.

What SAP must deliver: the installment of each record (field 10 of G125), the sum by establishment, and the sales of the period on a basis that the tax team recognizes.

Basis: LC 87, art. 20, § 5 and EFD Practical Guide 3.2.2, G110 and G125.

Illustrative example: it is not an opinion or an official calculation. Take the rule to your legal team and your accountant before you use the example.

Monthly claim

Installment, balance, and the end of the credit

The monthly rule, in one sentence

First fraction in the month of entry, 1/48 of the credit multiplied by the coefficient, pro rata die adjustment, and cancellation of the balance at the end of the 48th month (LC 87, art. 20, § 5, I, IV and VII). The CIAP calculator in 48 installments shows the 48 installments of one asset.

What changes for the person who runs the file

Ajuste SINIEF 8/97 adds that the accumulated balance of the assets does not fall with the monthly claim: it changes only with a new purchase or with disposal, transfer, perishing, going missing, spoilage, retirement, or another movement of the asset (clause 4, § 1, I) (Ajuste SINIEF 8/97). In other words, the credit claimed in one month does not "use up" the base of the next month. The base moves only when an asset comes in or goes out.

In G125, each asset with an installment in the period states two fields (Practical Guide, record G125):

FieldWhat it statesGuide validation
NUM_PARCThe installment number.Required when VL_PARC_PASS is greater than zero.
VL_PARC_PASSThe amount that can be claimed before the coefficient: the total credits of the asset divided by the number of installments. It does not exceed the sum of the four ICMS values of the entry divided by the NR_PARC of the master data.

Posting and deadline for the entry

Clause 6 requires CIAP to be posted by the day after the asset enters, the exit invoice is issued, or the asset perishes, goes missing, or spoils. Entries for credit or reversal installments are made on the last day of the assessment period, with no delay of more than five days (Ajuste SINIEF 8/97). For those who close the month with an automatic routine, this rule calls for a data cut-off that includes asset movements up to the last day.

Retirement, sale, and transfer

When the asset leaves, the credit stops or is adjusted

Four events end or interrupt the credit

After entry, the asset can leave the control in four ways. It can complete the claim period, be sold or transferred, perish, spoil, or go missing, or leave for another reason that state law recognizes. LC 87 covers a sale before four years: from the date of disposal, the credit for the fraction that would correspond to the rest of the four-year period is not allowed (LC 87, art. 20, § 5, V). Perishing, spoilage, and going missing lead to a reversal (art. 21, IV).

Transfer between establishments

Ajuste SINIEF 8/97 adds that states may set specific rules for posting internal transfers of assets (clause 8, II) (Ajuste SINIEF 8/97). In other words, a transfer between establishments of the same taxpayer has no uniform treatment in the federal text, and the client must read the rule of the origin state and the rule of the destination state before SAP is set up.

What SAP does for each exit, according to the SAP documentation

01End of the period

Automatic retirement

When the claim period ends, the system retires the record as soon as it generates the last installment. The final installment gets status BA, end of claim, and is posted in financial accounting (SAP Help, Retire CIAP Records).

02Sale

Retirement by sale

The retirement is done by hand in the report Display CIAP Records Data: you select the record, the sale option, and enter the exit invoice or the internal document. The ICMS balance not yet credited goes back to the original ledger account, and the system generates an SI installment with no value and an AT installment for the file (SAP Help, Retire CIAP Records by Sales).

03Loss

Perishing, loss, or spoilage

Two options: an exit invoice, which generates installments SI and OT, or an incident report, which generates installments SI and PE. In both cases the balance not credited goes back to the original account (SAP Help, Retire CIAP Records by Perishing, Loss or Deterioration).

04Return

Retirement by reversal of the purchase

Reversing the purchase invoice with a credit memo retires the record. Up to 12 months after creation, the system reverses the posting of the installments already credited. After 12 months, the credited value is not reversed and goes to the non-operating income account set in the configuration (SAP Help, Retire CIAP Records by Reversal).

05Scrap and transfer

Stock write-off and between plants

With movement type 551, the component is retired as OT and the balance not credited goes to the original account (SAP Help, Integration of CIAP and Material Movement). In a transfer between plants, the source record is retired as AT and a suspended record is created at the destination, which the receipt of the inbound invoice turns into IM (SAP Help, Transfer Asset Between Plants).

2
CIAP · asset retirement

Asset gone in month N: what is left of the installments and what the file records

Example: ICMS of BRL 120,000.00, 48 installments of BRL 2,500.00, asset sold in the 20th month, coefficient of 80%. If the state does not allow the installment of the month of exit, 19 installments were claimed, or BRL 38,000.00 with the coefficient, and 29 installments are no longer claimed. If it allows it, there are 20 installments, or BRL 40,000.00, and 28 are no longer claimed.

What SAP must deliver: the SI installment of the record in the month of exit, with or without the installment value depending on the state, and the exit movement (AT, PE, or OT) with no values.

Basis: LC 87, art. 20, § 5, V and EFD Practical Guide 3.2.2, G125, rule 1.6.

If the state does not allow the installment of the month of exit, the calculation gives 19 installments claimed. If the state allows it, there are 20. Confirm the state rule.

Illustrative example: same coefficient in all months, no pro rata die adjustment, and no other credits. It is not an opinion or an official calculation.

Partial retirement and fixed asset

Partial retirement and the retirement in FI‑AA

Partial retirement: the file rule and the SAP option

SAP accepts partial retirement of a record, for example when only some of the components go to another plant. For this, the business function "ERP, CIAP Partial Retirement" must be active and the configuration done.

Warning from the documentation

The EFD report legally supports only the full retirement of a record. Anyone who wants to retire partially must ask the state government for official authorization, with a document for each branch (14-digit CNPJ) or state registration (SAP Help, Retire CIAP Records). Without this document, partial retirement is a technical feature with no backing in the file.

SAP movements that do not pass through FI‑AA

The same documentation notes that retiring the CIAP record and retiring the asset in FI‑AA are two separate operations (SAP Help, Retire CIAP Records and SAP Help, Transfer Asset Between Plants). The asset must be retired by hand in FI‑AA, and the transfer of an asset between plants does not carry the data of the financial module.

The practical consequence is the most important one: the sale of a machine may be retired in the asset ledger while a CIAP installment keeps being claimed.

Block G of the EFD

Records G110, G125, and the ones that depend on them

Block G is the only place where the control reaches the tax authority. The Guide describes it as the block that shows the calculation of the ICMS credit installment claimed in the month, arising from the purchase of goods meant for fixed assets.

G110 is a summary, G125 is the proof

G110 says what the company will post in the ICMS assessment for the month. The Guide states that the value of field ICMS_APROP is claimed directly in the ICMS assessment record, as an assessment adjustment, unless the law requires a tax document to be issued. The same applies to the sum of other credits in field SOM_ICMS_OC (Practical Guide, record G110, fields 09 and 10). G125 shows, asset by asset, where the G110 number came from: each line is an asset with its installment for the period.

The opening balance of G110

Field SALDO_IN_ICMS of G110 deserves attention. It gathers the ICMS of assets that came in during earlier periods and already had an installment claimed, and these assets are reported in G125 with type SI, opening balance, with the start date of the period. Left out of the balance are components with type IA from earlier periods, whose credit is only claimed when the main asset is ready (Practical Guide, record G110, field 04).

Four filling rules that explain most rejections

01

An exit is always a pair of lines

An asset that leaves has two lines in the month: an SI, which stands for the asset that still existed, and an AT, PE, or OT. On the second, the four ICMS fields, NUM_PARC, and VL_PARC_PASS must not be filled in (EFD Practical Guide 3.2.2, rule 1.6).

02

Retirement at the end of the period is also a pair

In the month of the last installment, one SI line with NUM_PARC and VL_PARC_PASS filled in and one BA line without the values (rule 1.5).

03

An entry carries an installment

When the type is SI, IM, IA, or MC, NUM_PARC and VL_PARC_PASS are filled in (rule 1.7). In the route where the state recognizes the credit only for the resulting asset, components enter without these fields and the built asset enters with type CI (rules 2.1 and 2.2).

04

Every G125 code exists in 0300

COD_IND_BEM must be in the asset master data. You cannot report two records with the same combination of COD_IND_BEM and TIPO_MOV (record validations).

How these records relate to the ICMS assessment, the inventory, and the rest of the file is covered in SPED Fiscal, EFD ICMS IPI in SAP, which describes how the data is created in SAP and where the file breaks.

Late credit

The record that is created after the invoice

The path in SAP

It happens more than it seems: the invoice of an asset comes in with a CFOP that does not create a CIAP record, and months later someone notices. The SAP documentation describes the fix (SAP Help, Creating a CIAP Record for an Existing Nota Fiscal):

01

Change the CFOP

In transaction J1B2N, on the invoice item, and save the document.

02

The record is created

The system creates the CIAP record for the item, as if the CFOP had always been relevant.

03

Invoice 30 days old or more: two checks

Whether the document status code is 00 and whether the material document was created in a month after the posting date.

04

Late submission flagged

After the checks, the system sets the late submission indicator on the record.

The late installments

For records submitted late, the system also creates the installments that should have been credited in each past period, with the credit factor of each one, flags these installments as special credit, and reports them in record G126 of the file. The example from the documentation: material document posted on 12/08/2015, invoice posted on 03/09/2015 with the start of the credit period on 12/08/2015. The system creates one late installment, with reporting period September 2015, that refers to August 2015, and the normal installment for September (SAP Help, CIAP Record Quotas).

The right record in the file

G126 is the right record for this, according to the Guide: it is used to list the amounts to claim as ICMS credit on fixed assets that were not posted in earlier periods, "when the law allows" (Practical Guide, record G126). Whether state law allows it, and within what time, is the point the client must answer before using the feature. SAP offers the mechanism, and the decision to use it is not technical.

Reconciliation

Six checks between the file, the ledger, and the asset master data

CIAP touches four places: the file, the ICMS assessment, the financial ledger, and the asset master data. Six checks cover the points where they drift apart.

01 Balance

On one side: SALDO_IN_ICMS of G110 and the sum of the G125 lines of type SI.

On the other: Sum of the ICMS accounts on fixed assets, short term and long term.

A gap points to: A record with no account, a reclassification that did not run, or an asset missing from the file.

02 Credit of the month

On one side: ICMS_APROP and SOM_ICMS_OC of G110.

On the other: ICMS assessment adjustment and the financial entry of the credited installment.

A gap points to: Credit posted with no entry, or an entry with no adjustment in the assessment.

03 Installment not credited

On one side: VL_PARC_PASS minus the ICMS claimed, that is, the effect of the coefficient.

On the other: Value posted to expense or to the original asset account.

A gap points to: A coefficient different from the one used in the posting.

04 Retirement

On one side: Movements AT, PE, OT, and BA of the record.

On the other: Retirements and transfers of the fixed asset of the same asset.

A gap points to: An asset retired in FI‑AA with a live record, or the reverse.

05 Master data

On one side: COD_CTA of 0300 and cost center of 0305.

On the other: Account and cost center of the asset in the asset master data.

A gap points to: An accounting reclassification that did not reach CIAP.

06 Installments

On one side: NR_PARC of 0300 and NUM_PARC of G125.

On the other: Number of installments in the configuration and installments already credited on the record.

A gap points to: Wrong divisor, repeated installment, or skipped installment.

What SAP posting does for each installment

When a CIAP record is posted, the installment that receives credit is booked and the system generates a financial document with three effects (SAP Help, CIAP Record Quotas):

  • reclassification between the short-term and long-term accounts;
  • posting of the ICMS value according to the credit factor;
  • posting of the amounts not credited to the expense account or to the original account (asset or investment).

After that, the system creates a new installment for the reporting period, to be reported in Block G. There are also installments for the retirement processes: the documentation lists operations such as regular credit, reclassification, credit reversal, keeping the credited amount, and adjustment.

Posting is done by the report Run Accounting for CIAP Records (SAP Help, Retire CIAP Records by Reversal). This matters for the close: if the report does not run before the file, the ICMS accounts on fixed assets and G110 tell different stories.

Where the asset accountant comes in

A fixed asset has three lives that do not match. The accounting life is measured by depreciation, the credit life is measured in 48 months from entry, and the physical life ends with the sale, the loss, or the scrapping. CIAP follows the second and reacts to the third.

Depreciation of the asset does not affect the installment (the law does not mention it in § 5), and the useful life field of 0305 is only for information (Practical Guide, record 0305). The reconciliation works on this mismatch, and what is not reconciled later becomes credit with no backing or a reversal that no one expected.

The SAP side

Reports, BAPIs, BAdIs, and the versioned record

The TDF documentation for Brazil, version 3.6, describes a set of CIAP objects. The names and availability of each object vary with the release of the environment.

A support note that changed the record

An article from the SAP community, dated 24/08/2022, says that SAP note 3225801 began to allow more than one CT-e on the same CIAP record (SAP Community, CIAP in the TDF: support for multiple CT-es):

  • Each freight charge becomes an installment of type F. The related documents tab shows all the CT-e and the taxes by invoice, saved in table CIAP_D_NF.
  • The record gained new fields and moved to version 7.0.0. Whoever applies the note must run the migration process, without which the old records cannot be accessed.
  • Note 3165820 must also be applied: it changes the supplementary tables of records G130 and G140, and whoever uses them must adjust the implementations.

Two lessons do not depend on the note. The CIAP record is a versioned object, and a support update may require a data migration before the next file. And the Block G file may depend on supplementary client tables, which also change with the notes. The article is from 2022: whether these notes are still current, and the state of each environment, are checked in the SAP support portal, with the client's access.

Before you change anything: what the environment already has

A CIAP review starts with what is active, not with what the documentation promises: which account assignment categories create a record, whether partial retirement is active, which BAdIs were implemented, how many records exist by status, and whether the posting report runs at the close. The overview of the tax layer is in SAP Tax Declaration Framework and the starting assessment is in tax diagnostic in SAP.

Tax reform

The ICMS balance on fixed assets until 2032 and after

What LC 227 says about ICMS balances

Chapter I of Title IV of LC 227/2026 covers the ICMS credit balances that exist on 31/12/2032, recognized by the states and the Federal District (LC 227/2026, arts. 132 to 134). To be recognized, the balance must:

  • be allowed by the state law in force on that date and arise from operations up to it;
  • be properly assessed in the books;
  • not have been offset or used;
  • have been approved (art. 132, § 1).

From 01/02/2033, the balance is updated by the monthly change in the IPCA (art. 133).

The own treatment of the credit on permanent assets

  • Request. Filed in the same assessment period in which use of the credit begins, for an asset with entry from 01/01/2029 (art. 134, § 1, I).
  • Reply. The state or the Federal District responds within 60 days (art. 134, § 1, II). With no reply, the balance is considered approved, which does not prevent the assessment and posting of related amounts while the tax authority's right has not expired (art. 134, §§ 3 and 4).
  • Information to the IBS Management Committee. The credit on permanent assets is reported apart from the others (art. 136).
  • Offset against IBS. Over the remaining period under § 5 of art. 20 of LC 87. The other credits are offset in 240 monthly installments (art. 137).

And the sale of the asset in the transition period

LC 214/2025 covers, in art. 406, the sale of used machines, vehicles, and equipment acquired up to 31/12/2032, with the purchase backed by a valid tax document and more than 12 months in the seller's fixed assets. § 5 requires, for ICMS, that item V of § 5 of art. 20 of LC 87 be observed, the same rule for a sale before four years in art. 20, § 5, V (LC 214/2025, art. 406). What this means for each sale is a decision for the client with its legal team.

What depends on regulation

The approval request is handled under the law of the state or the Federal District (LC 227, art. 134, § 5). For assets with entry before 2029, and for the practical effect of the request on the CIAP routine, the state rule applies. The reading of the law serves to plan the asset master data, not to estimate the value of a credit.

The overall design of the transition and of IBS and CBS credits is in tax reform, CBS and IBS and in recovery of tax credits.

How DFSpro works

Review, design, configure, and prove

In CIAP, DFSpro's work has four parts, all within what the company already does in tax setup, ABAP development, and checking of ancillary obligations, alongside the project integrator.

  • Review. Which categories create a record, which records exist by status, which BAdIs are active, and how the close posts the installments.
  • Design of the master data and the link. Unique asset code, account, cost center, number of installments, and the link between the invoice, the record, and the asset.
  • Configuration and ABAP. Setup of what the configuration can reach and development of what it cannot, such as the routine that warns when a retired asset still has a live record.
  • Proof. Check of Block G against the ledger and the master data, with the six reconciliation checks, and a record of what stayed open.

DFSpro's part is the behavior of the system: design, configure, and prove. The right to credit, the classification of the asset, the coefficient rule, and the use of features such as late credit belong to the client.

Limit of our role

Where the work of DFSpro

DFSpro designs, configures, and proves the behavior of SAP in CIAP, alongside the integrator. What it delivers is not a legal opinion, does not say whether a specific asset gives the right to credit, and does not estimate the credit value of any company.

  • The right to credit, the classification of an asset as a permanent asset, and the reading of the law of each state belong to the client and its legal team.
  • The coefficient rule, the treatment of tax substitution in the calculation, the use of late credit, and the approval request in the transition are client decisions.
  • Once the decision is made, DFSpro designs, configures, and proves the behavior of SAP and records the evidence.

Frequently asked questions

Frequently asked questions about CIAP and fixed assets in SAP

01What does DFSpro do in SAP CIAP?+

It reviews how CIAP is set up in the environment, designs the asset master data and the link between the invoice, the record, and the asset, configures what the setup can reach, writes ABAP when it cannot, and proves the behavior against the file and the ledger. What DFSpro does not do is decide the tax position: the right to credit, the classification of the asset, and the coefficient rule belong to the client.

02Does the client need FI‑AA configured?+

The SAP documentation says that the CIAP solution and fixed asset accounting (FI‑AA) are not integrated: retiring the record and retiring the asset are done separately. So organized asset master data is what makes reconciliation possible. What each release requires of FI‑AA is checked in the review of the environment.

03How is Block G checked against the ledger?+

With six checks: the G110 balance against the ICMS accounts on fixed assets, the credit of the month against the assessment adjustment and the financial entry, the installment not credited against the expense or the original account, retirement movements against the asset, account and cost center of 0300 and 0305 against the master data, and installments claimed against the configuration.

04Who feeds the asset master data?+

The Practical Guide says the asset code is assigned by the taxpayer in its asset control and cannot be reused. In practice, asset accounting keeps the master data, the tax team validates what is an asset and what is a component, and IT makes sure the code reaches CIAP with no duplicates.

05Does DFSpro decide whether the asset gives the right to credit?+

No. Eligibility of the asset is a decision for the client, with its legal team, based on art. 20 of LC 87 and on state law. Once the client has defined eligibility, DFSpro configures and proves how SAP behaves.

06How is the scope defined?+

By the review: how many establishments, which account assignment categories create a record, whether there are assets under construction or components, whether partial retirement is active, and how the close posts the installments. The rest is handled in a talk through the contact channel.

07Why does the credit stop when the asset is sold?+

Because LC 87, art. 20, § 5, V, says that, on disposal within four years of purchase, the credit for the fraction that would correspond to the rest of the four-year period is not allowed from the date of disposal. The effect varies depending on whether the state allows the installment of the month of exit: for an asset sold in the 20th month, there are 20 installments claimed if the state allows it and 19 if it does not.

08What happens if the coefficient is wrong?+

The error hits all assets of the establishment in the same month, because the ratio multiplies the sum of the installments. With installments of BRL 8,000.00, a ratio of 0.9375 against 0.9000 changes the credit of the month by BRL 300.00. How to fix periods already posted depends on state law and on the client's decision.

09What is the risk of an asset with no master data?+

With no record, the credit on the asset has no control and no proof. In the file, a G125 movement that cannot find the code in 0300 fails validation. And an asset with no entry date has no month for the first installment.

10Does a factory stoppage interrupt the 48 fractions?+

Under the text of art. 20, § 5, of LC 87, the 48-month period counts from the entry of the asset, with no provision for suspension because of a production stoppage. What the stoppage changes is the coefficient, because it changes the share of taxed sales. The blog article on the subject covers the case of a stopped factory. How it applies to each case is a decision for the client.

11What does the reform change for the ICMS credit on fixed assets?+

LC 227/2026 covers the ICMS credit balance that exists on 31/12/2032 and gives its own treatment to the credit on permanent assets: an approval request in the period in which use begins, for assets with entry from 01/01/2029, and offset against IBS over the remaining period of the 48 installments (arts. 134, 136, and 137). The procedure follows the law of the state or the Federal District (art. 134, § 5).

12How to start: asset inventory, coefficient test, or Block G check?+

Whoever does not know how many assets have a record starts with the inventory of records by status. Whoever doubts the monthly credit starts with the coefficient test. Whoever received a question from the tax authority or is about to migrate release starts with the check of Block G against the ledger. The contact channel is there to choose the door.

13How does CIAP connect to credit recovery?+

CIAP is the part of the ICMS credit that lasts for years, and so it is the hardest to prove. The recovery of tax credits page covers the full design of the credit, for ICMS, IPI, PIS, and Cofins, and brings CIAP in as one of its control points.

14Where can I see the example of the 48 installments?+

On the page on ancillary obligations and SPED, the CIAP calculator in 48 installments shows where each installment falls for one asset, with the effect of the ratio and of a sale before the end. The calculator uses the same rule as art. 20, § 5.
